Things to Note

Please read through the following information and fill out the form at the bottom of the page.  An email confirming your request will be sent after you submit the below form. This is a confirmation we have received your request.
The Administrative Coordinator will typically be contact the lead person for the event within one week of submitting the below request to advise what room has been reserved. The space is not reserved until you receive this email. If you do not hear back within 7 days please email brittany.l@maplewoodumc.org or call the church office at 314-781-5902 to finish the process.

External groups are subject to pay fees to use the space. This is a new process, so please read the information below carefully. The pricing for each room is listed below.

Facility Use Policy

The following policies apply to the use of the facilities of the Maplewood United Methodist Church (MUMC) by its members, non-member individuals, and outside organizations who desire to use the facilities. It is our hope to make the best possible use of our facility to uphold the mission and vision of the congregation and give witness to God’s presence in the Maplewood community. The Facility Use Policy has been approved by the Administrative Council of MUMC, October 27, 2024.

General Policies:

1. Maplewood United Methodist Church reserves the right to refuse use of its facilities to any group or individual without explanation.
2. Consuming alcoholic beverages, smoking, and using any other controlled substances are prohibited on church grounds.
3. Carrying weapons of any kind in any church-owned facility or on church-owned grounds is prohibited.
4. Partisan political activities are prohibited.
5. MUMC does not allow facility use by for-profit organizations and individuals.
6. All individuals and organizations must comply with the MUMC Safe Gatherings Policy. (This includes members and nonmembers, and not-for-profit groups and individuals. Copies of the policy are available in the church office.)

Use Policies:

1. All policies, processes, and fees for the use of church property shall be those established by the Board of Trustees with the approval of the Administrative Council.
2. Fees are waived for all committees, teams, task forces, and other official groups of MUMC.
3. Individuals or organizations using MUMC facilities shall use only the area(s) agreed upon in the Reservation Confirmation.
4. Funerals shall have priority for any space. In the event of a conflict, those scheduled to use that space shall be notified by the church staff of its unavailability.
5. No church property shall be removed from the premises except as authorized by a member of the trustees or the pastor.
6. The individual or the point of contact for the group using the facility is responsible for set-up of the space as needed, including arrangement of furniture and any technology to be used in the space.
7. No audio/visual equipment belonging to MUMC may be used unless authorized by the chair of the trustees or the pastor. Anyone using A/V equipment belonging to MUMC must be trained by a member of the Tech Team before doing so.
8. Spaces must be returned to their baseline set-up following each event, including arrangement of furniture, and any items used during the event must be stored as intended.
9. All trash must be picked up and placed in receptacles, and food debris on floors, tables, and chairs must be removed. Any food storage must be in refrigerators or other rodent-proof containers.
10. No decorations of any kind may be removed or attached, tied, glued, or stapled to any wall, ceiling, door, or doorframe of church facilities without prior consent of a staff member or a member of the Board of Trustees.
11. The group will comply with all fire and safety regulations.
12. Any costs associated with the cleaning, repairing, or replacing any church property due to defacement, damage, or reckless disregard, deemed beyond normal wear and tear by the Board of Trustees will be the sole responsibility of the group using the space.
13. Failure to abide by these use policies will be addressed by the pastor and/or the trustee chair in conversation with the point of contact. If a reasonable resolution of the matter cannot be attained, permission to use the facility may be revoked.
14. Maplewood UMC reserves the right to use images of those using the space for the purpose of website or printed publications in an effort to promote Maplewood UMC and its ministries.

Reservation Process:

1. Outside organizations must be sponsored by an MUMC member or designated staff member. This sponsor serves as the point of contact for the group, and assumes responsibility for their actions while the group is using the facility. MUMC groups must designate a person as the group’s point of contact.
2. For both outside organizations and MUMC groups, requests for reservations must be made by completing a Facility Use Request form, available from the church Administrative Coordinator. Groups requesting reservations will be made aware of the policies in this document by the Administrative Coordinator.
3. Upon receipt of a completed Facility Use Request form, the Administrative Coordinator will forward the request to the chair of the trustees for approval. The trustee chair may consult with the pastor if there is any question about the request. The trustee chair will notify the Administrative Coordinator of the approval of the request. 
4. The point of contact will be notified of reservation confirmation status by the Administrative Coordinator within one week of submitting the reservation request. For outside organizations, the reservation will be confirmed when the confirmation deposit is received.
5. If there is a fee for use, the fee must be paid in full by the date of the scheduled event. 
6. If the event is a recurring event, the point of contact will indicate as such on the request form. Groups holding recurring events will be asked to renew their Facility Use Request annually.
7. Requests for reservations are accepted on a first-come, first-served basis with priority being given to MUMC programs, organizations, and members. (See “Request Prioritization” below.)
8. The point of contact must be at least 21 years of age or provide a co-signer 21 years or older. 
9. The chair of the trustees is authorized to approve temporary issuance of keys as needed. A $50 deposit will be required. Keys must be returned by the end of the business day following the event.

Free Use of MUMC Facilities:

The Pastor and Board of Trustees may declare a not-for-profit organization exempt from usage fees. These organizations must meet the requirements of the Book of Discipline as appropriate for United Methodist congregations. These organizations must show that they are not in a position to pay for the direct costs of the space required. If an organization believes they qualify for waiving of usage fees, the point of contact may indicate as such on the Facility Use Request. The Administrative Coordinator will keep a record of exempt organizations. The pastor is authorized to waive fees, reduce fees, or assess additional charges at their discretion.

Request Prioritization:

The following priorities will guide the use of MUMC facilities.
1. Religious services of MUMC, as directed by the Pastor and church staff.
2. Activities directly sponsored, organized, and led by teams, committees, and task forces of MUMC.
3. Activities of the larger United Methodist organization (district, conference, etc.) that MUMC has, through the church staff or MUMC representatives to these organizations, agreed to host.
4. Activities directly sponsored, organized, and directed by outside organizations that MUMC has decided to exempt from fees.
5. Activities arranged by individuals who are members of MUMC.
6. Activities directly sponsored, organized, and directed by outside organizations that MUMC has decided not to exempt from fees.
7. Activities arranged by individuals who are not members of MUMC.

Fee schedule for outside organizations:

The following fees apply to any outside organizations except those declared exempt by the pastor and the board of trustees. All reservations made by non-exempt outside organizations require a refundable confirmation deposit of $25 at the time of reservation confirmation. Hourly rates include set-up and clean-up time.
